We are committed to protecting your privacy. We will only use the information that we collect about you lawfully (in accordance with the Data Protection Act 1998 and from May 2018 the EU General Data Protection Regulation).

Information we may collect and how we use it

We collect information about you for a number of reasons: this may be to identify you as the church leader, Renew Centre host, or someone who has expressed an interest to be informed about our work. This will enable us to provide you with newsletters, prayer requests, information about retreats, training events and Renew celebrations. The most cost effective way to communicate this information will be by email.

Information can be collected when you interact with us, by email, phone, letter or by signing up to our newsletters either via ‘Mailchimp’ or by contacting us directly.

Newsletters and the website may include photographs of the Renew Centres, activities and of people. Please tell us if you don't want your photograph published and we will respect your wishes.

The type of personal information we may collect about you includes:

  • your name
  • address
  • email address
  • phone numbers
  • church details
  • gift aid declaration (if applicable) - which includes full name and address
  • subscriber IP provided via Mailchimp (we do not use this for any purposes)

We mainly use this information to:

  • process your donations and claim Gift Aid
  • to update you with information about your donation
  • where you volunteer with us, to administer the volunteering arrangement
  • to send you newsletters, invitations to retreats, family gatherings and prayer updates

Third Parties

We will not sell, trade or freely share your personal information with any third party, either in the UK, EEA (European Economic Area) or outside this area unless required to do so by an order of a UK court or we have obtained your prior permission to do so.

We may use third-party financial institutions to process our donations. These could include organisations such as Give Net (managed by stewardship.org.uk), Just Giving and Charities Aid Foundation. Donations may be made to Renew Wellbeing through organisations such as these and they will process payments in accordance with their own financial guidelines. We will not receive any bank or credit card details from these organisations.

We may use a third-party marketing platform such as ‘Mailchimp’ to send our newsletters to you. We will always ensure that any such platform is password protected and the only information we will store on this will be your name and email address, unless you have supplied your telephone number when you used the sign up form. Where you sign up to receive our newsletters via the website you are providing your consent for us to email this you.

How we store your personal details

We undertake to store your personal information on secure password protected devices and will regularly review our internal security policy procedures. Only personnel working for Renew Wellbeing (or authorised volunteers on placement) will have access to this information. All staff and volunteers will be advised on the importance of data protection, confidentiality and secure storage of information.

The data we hold will be accurate and up to date. You can check the information that we hold about you by emailing us. If you find any inaccuracies we will delete or correct it promptly.

We will never intentionally misuse any personal data we collect or hold.

We will only hold your information as long as necessary and reasonably required for the relevant activity, which may be to fulfil statutory obligations (for example, the collection of Gift Aid).

You may request at any time for the information we store about you to be erased and we will comply with this. Please note that there are legal reasons which may require us to retain certain information such as financial records for Gift Aid purposes etc.

Cookies

The privacy of our website visitors is important to us so we do not track any individual visitors.

We are committed to complying with The Data Protection Act 2018 and the Privacy and Electronic Communications Regulations 2003 (PECR) on our website and on our website analytics. 

We use Cookie-free Analytics to collect some anonymous usage data for statistical purposes. The goal is to track overall trends in our website traffic, it is not to track individual visitors. All the data is in aggregate only. No personal data is collected. 

The anonymised data collected includes: referral sources, pages visited, visit duration, information from the devices (device type, operating system, country and browser) used during the visit and more.

The only cookies collected are essential, namely: session cookies and load-balancing cookies, both of which are exempt from having to gain explicit user consent. See the Information Commissioner's Office (ICO) website for more information.

*We believe that donors who give a recurring gift to Renew Wellbeing, those who have given a one-off gift within the last 24 months, or those who have pledged to leave us a gift in their Will, have a legitimate interest in hearing from us, and therefore we do not need explicit permission from them to contact them via post.

You may opt out of receiving communications from us at any point, however, we may still contact you by post, telephone or email for administrative purposes, such as confirming your Gift Aid eligibility status.
